Review the branch, responsible-person and signatory details the EPF Scheme, 2026 asks employers to keep current. This checklist is for registered establishments; it is not the EPF code-registration application.

Rules last verified 2026-10-01

This is an information tool, not advice. It performs the arithmetic and the screening you see below on the information you give it. It does not decide whether a position is lawful, compliant or correct, it is not a substitute for professional advice, and GHR assumes no duty of care to you in respect of it.

Start with the establishment's EPF code

The EPF Scheme, 2026 sets out Form VIII for branch and responsible-person details and Form IX for authorised signatories. This checklist is for a registered establishment; it is not an EPF registration application.

Does the establishment already have an EPF code?

What to check before submitting an update

Paragraph 26 of the EPF Scheme, 2026 uses Form VIII for branches, departments and persons with ultimate control over branch administration. Form IX records authorised signatories; the Scheme permits up to five employee signatories.

Ownership and signatory particulars must be furnished every financial year and when they change. A change must be furnished within 30 days. Gather supporting records and confirm the current portal instructions before submitting.

This is not the EPF registration application

If the establishment does not have an EPF code, first check the applicable coverage and registration route. The checklist links to EPF registration guidance; these ownership and signatory particulars apply to registered establishments.

For the new Scheme and legacy Form 5A references, read the ownership and signatory guide before using a portal screen that may have changed.

Questions people actually ask

Which forms cover ownership and authorised signatories under the EPF Scheme, 2026?
Paragraph 26 refers to Form VIII for branch and responsible-person particulars and Form IX for authorised signatories. Check the current EPFO portal because some legacy records or specific establishment arrangements may still refer to Form 5A.
How often must the ownership and signatory particulars be updated?
Paragraph 26 requires these particulars every financial year and when they change; a change must be furnished within 30 days. Follow any establishment-specific EPFO portal instruction.
Does this checklist store employer or signatory details?
No. The checkmarks stay in the current browser tab. The checklist does not ask for establishment or owner details; enter those only in the official EPFO employer portal when signed in.
What information belongs in Form VIII?
The Scheme's Form VIII covers the establishment profile, branches and departments, and the person or persons with ultimate control over branch administration. It also calls for supporting identity documents; use the current form for the full field list.
Can I authorise more than five signatories?
Paragraph 26 allows no more than five employee signatories for the normal employer process. It describes a limited exception for closure, liquidation or similar circumstances where another person is discharging the employer's duties.
Do all establishments have to submit Forms VIII and IX?
Paragraph 26 applies to registered establishments and includes a proviso for certain existing pension or insurance forms to be treated as satisfying the requirements. Check the current EPFO portal and the establishment's category before filing.
